Purpose

Encouraging and assisting employees in their self-development is important to Marymount University. The Tuition Remission and Tuition Exchange Programs help support employees and their dependents wanting to enhance their knowledge and education.

1.0 Tuition Remission

1.1 Eligibility

All regular, full-time employees whose 90-day probation period has been completed prior to the beginning of the semester or term are eligible for Tuition Remission at the undergraduate and graduate level.  

Tuition Remission Requests are due before the first day of class each Semester.

Those using Tuition Remission must be admitted as a student prior to taking classes. The application fee is waived for employees. 

The employee’s job duties and responsibilities are given priority. Employees must schedule classes outside their regular university work hours or have a prearranged absence with the supervisor. See 1.4.1 Class Schedule below.

Employees who are on extended leave are not eligible for Tuition Remission. In cases involving medical leave a physician’s release will be required prior to enrollment. 

1.2 Covered Benefit

Employees may enroll in a maximum of six (6) credits per semester.  An employee may take a maximum of eighteen (18) credit hours in a 12-month academic year. 

Only classes that are regularly scheduled on a Marymount University campus in Virginia, including the London program, are eligible.

If several employees in a work area wish to enroll, but enrollments must be limited because of work demands, the following priority is to be followed by the authorizing manager: undergraduate degree, first master’s degree, additional master’s degree, non-degree course.

Employees, spouses, and dependent children are admitted into courses on a space-available basis, as determined by the appropriate academic dean and Vice President. If a course becomes over-subscribed, priority will be given to paying students.

1.3  Not Covered

Consortium classes, lab fees, study materials, and/or books are not covered by Tuition Remission.  

Some programs are limited to up to two (2) university employees using Tuition Remission. This occurs when classes are already full of non-Tuition Remission students. These programs are Keypath: Doctor of Business Administration (DBA), Doctor of Education (EDD), and Online Doctorate for Nursing.  

  1. You must be accepted into the program before you complete the Tuition Remission Form.  
  2. Application dates are on each program’s website and are considered on a first-come, first-served basis.

1.4 Employee Responsibility

1.4.1  Class Schedule

The employee’s job duties and responsibilities are given priority.  Employees must schedule classes outside their regular university work hours.  Any change in work schedule for time spent in class must be approved by the supervisor before registering for the class, see University Policy Absenteeism and Tardiness.  Any hours in a work schedule change must be made up within the same 40-hour workweek or the time must be charged to annual leave. In the event of conflicts between requests for a schedule change to take classes and the department’s ability to conduct business, management has the authority to modify or deny the request.

1.4.2 Responsibilities

  1. Employees must complete the admissions process first.
  2. Employees must have supervisor approval for a change in work schedule before registering for classes.
  3. Employee to apply for all appropriate financial aid.
  4. Employees must complete the Tuition Remission Request form in Workday form prior to enrollment in any class or program.
  5. Tuition Remission Requests are due before the first day of class each Semester.  
  6. Employees are responsible for submitting requests each semester to ensure Tuition Remission is approved and applied.

1.4.3 Taxes

In accordance with Internal Revenue Code requirements, Employees enrolled in graduate courses will be taxed on the value of Tuition Remission Benefits in excess of an amount determined by the IRS per calendar year. Check with Financial Services for more information. The value of the Waiver for spouses and dependent children enrolled in graduate courses is taxable regardless of the amount.  

1.4.4  Financial Aid

It is the responsibility of the employee to apply for all appropriate financial aid.  Spouses and dependent children who intend to study full-time must apply for federal and state financial aid through the usual Financial Aid process. They must observe the deadlines for various forms of financial aid. Marymount University’s benefit will cover tuition not covered by these aid programs.

1.5  Spouse and Dependent Children

1.5.1  Eligibility

This assistance is available to spouses and dependent children the first eligible semester after the regular full time employee completes their 90-day probation period. Assistance will total 100% of tuition after crediting applicable financial aid.

Employees’ children who are not dependents for tax purposes will not be eligible for Tuition Remission.

If a spouse or dependent child become full-time Marymount University employees they are eligible to receive the Tuition Remission benefit and no longer receive a parent’s or spouse’s benefit (Tuition Remission benefits are not cumulative).

1.5.2  Undergraduate Tuition

Tuition Remission will be for not more than eighteen (18) credits in the fall semester and eighteen (18) credits in the spring semester and twelve (12) credits during all the summer terms. 

1.5.3 Graduate Tuition

Tuition Remission will be for not more than twelve (12) credits in the fall semester and twelve (12) credits in the spring semester and nine (9) credits during all the summer terms.

  1. In the Search Bar: type Create Request, click Enter
  2. Choose the Create Request Task
  3. In the field: type Tuition Remission, click Enter
  4. Enter your information
  5. Acknowledge the responsibilities,
  6. Complete the form and Submit.

 

2.0 Tuition Exchange

Tuition Exchange (TE) is a reciprocal scholarship opportunity for the dependents of eligible faculty and staff at all Tuition Exchange member schools.  The number of student’s “exported” each year by Marymount University varies and the availability of slots in any particular year are not guaranteed.

2.1  Eligibility

Dependent children of Marymount University employees who have been full time for a minimum of two (2) years, may choose from those participating colleges and universities. If a parent leaves in the middle of the academic year, the student is allowed to complete the year on Tuition Exchange and then they are not eligible the following year(s).

2.2  How it Works

  1. The employee completes the TE-EZ app (online) and the student applies for Admission to the selected TE school(s).
  2. The employee’s “export” eligibility is reviewed by Human Resources and confirmed eligible (approved) or ineligible (deny).
  3. The “import” school reviews the EZ app and determines the student’s scholarship eligibility.

2.3 Best Practices

  1. Funding can be different at each school.
  2. Apply to multiple schools at different tiers to increase your chances of receiving the scholarship.
  3. Adhere to the deadlines.
  4. Information is available on the TE website for each institution.
  5. Access information including how-to-guides, application deadlines, FAQs, process requirements and track your application all on the Tuition Exchange website.
