Important Deadlines

There are many dates that are important for you to know regarding managing the student employment process within your area or department. Below are specific dates or timeframes that will be helpful for you to know, especially in relation to the each year to transition between academic year and summer hiring.

First day of fall semester – Start of academic year student employment period
  • Students who have been hired to work for the academic year may begin to work. Academic year work hours, i.e. 10 hours/week, take effect.
 
First business day of October – Last day of the calendar year to hire international students who do not have a Social Security Number
  • The Social Security Administration may take up to 12 weeks to issue a Social Security Number for international students. In order to ensure all students have a Social Security Number when student employment wages are reported to the IRS at the end of each calendar year, international students who need to apply for a Social Security Number must be hired by this date. International students hired after this date who do not already have a Social Security Number may be considered to begin work after January 1 of the following year.
 
Last business day in March – Last day to hire students for the academic year
  • Any remaining academic year postings will be pulled off the employment site and all students who work at any point during the academic year must be officially hired by this date.
 
First Monday in April – First day to post summer session positions
  • Hiring Managers must have closed out academic year postings before summer positions will be posted.
 
First week of April – Student Employee Performance Evaluation/Re-hire forms sent to employers
  • Evaluation forms for each student who worked through the FWS or CE programs will be sent to the employer for completion and review with the student employee.
 
Third Monday in April – Student Employee Performance Evaluation/Re-hire forms due AND first day to post the following academic year’s postings
  • Must have returned student performance reviews for the current academic year before the following academic year’s positions will be posted.
 
Last day of fall/spring semester classes – Last day of scheduled student employment for the academic year
  • Students may work during final exam period if they wish, but employers may not require them to work after the last day of classes.
 
First day of summer session – Start of summer student employment period
  • Students who have been hired to work for the summer student employment period may begin to work. Summer work hours, i.e. 20 hours/week, take effect.
 
Last business day of June – Last day to hire students for the summer student employment period
  • Any remaining summer student employment postings will be removed from the employment site. All students who work at any point during the summer session must be officially hired by this date.
